Could you introduce yourself?
My name is Virginie Charvaz, and I am a project manager in the IT department at Onco Aura.

Onco Aura is a DSRC (Regional Cancer-Specific Unit). We are a public health organization and a non-profit organization. Our missions are entrusted and funded by our Regional Health Agency (ARS).

We currently have 94 members, including:

  • 80 authorized oncology establishments and structures
  • 14 associated establishments and structures

Additionally, we have institutional members such as:

  • The National League Against Cancer
  • Regional Unions of Health Professionals: Doctors, Pharmacists, and Nurses
  • France Asso Santé AURA

Our primary mission is to coordinate and standardize professional practices in oncology across the Auvergne-Rhône-Alpes French region.

We are also tasked with recognizing the work of private doctors for their participation in Multidisciplinary Team Meetings (MTMs). These meetings provide cancer patients with a therapeutic proposal after a collective decision is made.

To do this, we distribute a financial envelope from our ARS to private practitioners based on their activity in MTMs.

What business problem were you trying to solve?
We were looking for a way to organize the collection of data from private health facilities in the region to distribute this funding based on the actual activity of the practitioners in MTMs. So, we needed a tool that could centralize data entry and simplify the updating of this information.

There was a strong need for time-saving and data reliability.

How did you handle this problem before using RowShare?
Our team had been using Microsoft Excel for a long time. We would share an Excel file with each health facility, with one row for each doctor to record the number of cases and their attendance at Multidisciplinary Team Meetings (MTMs).

Since we had multiple contacts in each structure, it sometimes happened that several people sent data simultaneously, creating ambiguity about which data source to keep. One of our goals was to have a single point of contact per establishment.

We spent a lot of time consolidating the data through back-and-forth exchanges with the clinics, which led to managing several versions of the Excel files, complicating the tracking of responses from the clinics.

Once this step was completed, we centralized everything in a large file to finally perform our comparative analyses.

How did you first hear about RowShare?
Through an internet search to find a solution that met our data centralization needs.

How did the implementation process go?
The implementation was very quick. We signed the contract at the end of the year, and by the beginning of the following year, just a few weeks later, the tool was operational.

The setup of the tool did not impact our annual schedule.

Since we already had an established process, we had specific expectations, and the RowShare team was able to quickly configure the tool to meet our needs.

RowShare has allowed us to digitalize our processes, and our data is now more consistent. Before, in Excel, our data wasn’t as clean. We used to spend a lot of time cleaning up our files before getting to a single consolidated file.

Who are the RowShare users at Onco Aura, and how do they use it?
In the health facilities in our region, the users are mainly directors, quality managers, and doctors. They enter their activity during our annual data collection campaign.

Today, we manage data collection, quality control, and information exchanges with the clinics through RowShare. The tool allows us to have only one point of contact per establishment, thanks to the user group account validation feature.

Our calculations are still done in Excel, as RowShare data can be analyzed in RowShare or just as easily in Excel, where we are most familiar.

How has RowShare helped you?
RowShare has allowed us to digitize our processes. Our data is now more uniform.

Previously, in Excel, our data wasn’t as clean. We spent a lot of time cleaning our files before arriving at a single consolidated file with all the feedback from the establishments.

Have you ever contacted RowShare support? What do you think of it?
We’ve been quite autonomous in using RowShare. We’ve managed to do what we want fairly easily. Occasionally, we ask for support to help import large amounts of data.

Yes, we shared a tutorial through our communication channels to explain to the clinics how to use RowShare tables, and we only received positive feedback!
