EEDF Streamlines HR Processes with RowShare

In 2022, Éclaireuses Éclaireurs de France (EEDF) chose RowShare as their new tool for automating HR processes. They kindly agreed to answer a few questions from our team:

Could you provide a brief description of your organization?
EEDF is a French association founded over 100 years ago to support the secular scouting movement. With its three divisions, the association organizes adapted vacations for adults and minors with intellectual disabilities, welcoming between 500 and 2,000 vacationers per year during school holidays, with peak periods in the summer and at Christmas.

What challenges were you trying to solve with RowShare?
We employ seasonal staff under educational engagement contracts to handle peak periods. However, the recruitment period is short, and the number of applicants is so large that it made managing recruitment and contracts difficult. Contracts were generated manually and varied from one department to another, making the process complex and prone to errors, and sometimes even causing delays that could hinder the hiring process. Our challenge was to make the process more standardized, faster, but most importantly, more automated. At the same time, the tool had to be easy for both the candidates and our teams across the three divisions to use and access.

What did you do before using RowShare?
Before using RowShare, we had started simplifying and digitizing part of the process using DocuSign to generate employment contracts. The data was extracted from Google Sheets or Microsoft Excel, but there was still a lot of manual copying involved.

We then tried Power Automate, but it was too complex to implement and had access limitations, which still led us to manually transfer information between spreadsheets. Additionally, we needed the site managers in the different divisions to only see data related to their own employees.

Why did you choose RowShare over other software?
We were looking for a programmable system to fully automate our process. Our ideal solution needed to remain close to a spreadsheet environment—simple and easy for everyone to use—and also include cloud storage features, automation, and access control so that each person would only see the data relevant to them, whether they were a candidate or a site manager.

I wasn’t sure I would find an “off-the-shelf” tool on the market that met all these criteria, but after searching on Google, I came across RowShare. When I spoke with one of their experts, I was delighted to learn that their solution could also be connected to DocuSign via Zapier. This really exceeded all our expectations.

How did the implementation go? Did you need any help?
Implementation was quick. I explained our employment contract generation process, the contract validation workflow we follow, and shared our document templates with the RowShare team. They configured everything for us so that our processes were automated quickly without any disruption. The tool is also so easy to use that it worked from day one. Internal and external users had no trouble using it.

Who are the RowShare users in your organization?
First, our HR manager, then the permanent staff in charge of reviewing the data, as well as the entire team, including the site manager at times. What's great is that we can also access RowShare via Microsoft Teams.

What’s your favorite aspect of RowShare?
First, I’d say RowShare has helped us improve both data reliability and process efficiency. Now, even on a Sunday, we can generate contracts in less than five minutes. Even when HR is unavailable, the process still works.

But what I love most about RowShare is the personalized access management for table rows and columns for each user and user type. It’s truly amazing and adds real value compared to Excel 365, which is better known for its calculation power.

I also believe that one of RowShare's best features is its connectivity with Zapier. The workflows we can imagine thanks to this connectivity are just incredible.
